Position Summary/Overview:

We are seeking a highly organized and adaptable Administrative Operations Coordinator to support our growing operations. This role is critical to maintaining organization, communication, administrative compliance, and internal workflow across multiple active projects and departments.

The ideal candidate is detail-oriented, capable of handling a high volume of moving tasks, and comfortable working in a fast-paced environment where priorities can shift quickly. Strong organizational skills, communication abilities, and problem-solving are essential.

Benefits after 3 months and Pension matching after 1 year.

This is a key support position within the organization and plays an important role in maintaining operational stability, organization, and efficiency across the companies.

Primary Responsibilities Include:

  • Administrative coordination and office organization
  • Client communications and correspondence
  • Providing scheduling updates to clients and project managers
  • Maintaining clear expectations and communication with clients throughout active projects
  • Job intake management and task creation
  • Payroll support and cost entry
  • Pension submissions and administrative reporting
  • Maintaining WSIB and insurance clearance documentation
  • Vendor setup, credit applications, and compliance administration
  • File management, invoicing support, and deadline tracking
  • Communication with staff, suppliers, and subcontractors
  • Maintaining administrative organization and operational systems
  • Assisting management with process implementation and workflow oversight

Qualifications

Requirements:

  • Strong organizational and multitasking abilities
  • Excellent written and verbal communication skills
  • Strong working knowledge of Microsoft Office 365 and Microsoft Excel
  • Ability to work independently and manage competing priorities
  • Experience in administrative coordination or office management
  • Experience in construction, service-based industries, or project-driven environments is considered an asset

Secondary Responsibilities Include:

  • Workflow monitoring and follow-up
  • Assisting with internal task prioritization and project coordination
