Temporary Administrative Assistant (6-Month Contract)

Job Summary:
The Temporary Administrative Assistant will provide vital support to the administrative team
during the implementation of a new case management system and accounting software.
This role focuses on data entry, tracking, reporting, and general administrative tasks to
ensure smooth operations. The position requires excellent organizational skills, attention
to detail, and the ability to handle tasks with varying timelines.
Responsibilities/Job Duties:
· Maintain and update tracking spreadsheets on a weekly and monthly basis.
· Enter invoices accurately into third-party systems such as Telus Health, Fieldglass,
and others.
· Monitor and manage the admin email inbox, responding to or directing inquiries
appropriately.
· Update Occupational Therapist (OT) monthly reports and data onto tracking
spreadsheets.
· Manage pending case closures, ensuring timely follow-up and documentation.
· Assist with survey distribution and data collection as required.
· Perform data entry and historical data migration into systems as needed.
· Provide general administrative support to the team, including tasks related to
reporting, resource coordination, and finance, as assigned.
Key Performance Indicators (KPIs):
· Accuracy and timeliness of invoice entry and spreadsheet updates.
· Completion of WSIB tracking and reporting tasks.
· Responsiveness to admin email inquiries.
· Successful completion of historical data entry tasks.
· Ability to manage tasks with varying timelines effectively.
Qualifications
Skills Required:
· Strong organizational and time management skills.
· Excellent attention to detail and accuracy in data entry.
· Proficiency in Microsoft Excel, Word, and other relevant software systems.
· Ability to learn and adapt to new systems quickly.
· Strong written and verbal communication skills.
· Ability to prioritize tasks with both fixed and flexible deadlines.
· Team player with a proactive, problem-solving mindset.
Qualifications, Education, and Experience:
· High school diploma or equivalent; post-secondary education in administration or a
related field is an asset.
· Previous experience in an administrative role, preferably in healthcare, professional
services, or similar industries.
· Experience with data entry, tracking spreadsheets, and invoice processing is
preferred.
· Familiarity with case management or accounting systems is an asset but not
required.

Contract Duration and Details:
· 6-month contract position.
· Full-time hours (e.g., 35-40 hours per week).
· Hourly rate: $21 – $24/hour, based on experience.
